This role is ideal for someone who thrives in a fast-paced environment and is eager to contribute to a growing organization. E-commerce experience is preferred, but not required—what matters most is your ability to keep things running smoothly and efficiently.
Job Overview:
The Executive Assistant will provide comprehensive administrative support to senior executives, helping to manage their schedules, communications, and day-to-day operational needs. This role involves organizing meetings, handling confidential information, preparing reports, and liaising with internal teams and external stakeholders. As a key player in the executive team, you will ensure that everything operates seamlessly, allowing our leadership to focus on strategic priorities. You must be comfortable working in a fast-moving environment and ready to take on a variety of tasks.
Key Responsibilities:
- Executive Support: Manage and optimize the daily schedules of executives, including calendar management, meeting coordination, and travel arrangements.
- Communication Management: Act as a liaison between executives and internal/external stakeholders, ensuring timely responses and clear communication.
- Document Preparation: Prepare presentations, reports, and correspondence as needed, ensuring accuracy and professionalism.
- Project Coordination: Assist with special projects and ensure deadlines are met by coordinating resources, timelines, and deliverables.
- Meeting Coordination: Organize and manage internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
- Office Management: Support the day-to-day operations of the office, ordering supplies, organizing events, and maintaining a clean, organized workspace.
- Confidentiality: Handle sensitive information with discretion, maintaining confidentiality at all times.
- E-commerce Support: Assist with e-commerce-related tasks, such as product tracking, order management, or vendor coordination, as needed (preferred but not required).
Qualifications:
- 3+ years of experience as an Executive Assistant or in a similar administrative support role.
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools (e.g., Slack, Google Workspace).
- E-commerce experience is a plus, but not required.
- Ability to work independently and take initiative in a fast-paced environment.
- Discretion and professionalism when dealing with confidential information.
- Strong attention to detail and accuracy in all tasks.
- Ability to work well under pressure and meet tight deadlines.
- A positive, “can-do” attitude and a willingness to pitch in wherever needed.
